Guidelines
World Classics Catering by Food City agrees to provide the services specified below to (client or organization name) on the (date of event). The event will be held at (physical location; i.e, example, Smith residence, physical address or SWVAHEC in the Grand Ballroom) from (scheduled time, example from 10-2pm).
Terms of Agreement
World Classics Catering requires a deposit of 25% of the estimated event charges. Based on the requirements for your event, the estimated charges will be approximately _____________; the required deposit is ____________. All food, rentals, and deliveries are subject to local and state sales tax. Final payment is due at the end of the event.
Payment
Payment may be made by cash or check. The maximum returned check fee allowable by state law will be charged on any returned check. In addition, the Client agrees to pay all cost of collection including any attorney’s fees. We also honor all major credit and debit cards.
Any deposits or payments will be applied to your balance due; the remaining balance is payable no later than at the close of the event. A World Classics Catering associate will contact you by phone several days in advance of the event to review the final invoice and to confirm the amount and method of your payment.
Service Charges
World Classics Catering does not accept gratuities. An 18% Service Charge will be added to your final bill to cover the cost of labor during the event. Larger events that require set up time for decorations and special requests will incur additional hourly charges for labor.
Tax Exempt Status
Groups with tax-exempt status must submit an official copy of their status prior to the event. Not only must the organization be tax exempt, but the event the organization is sponsoring must also be held for the purpose for which they obtained their exemption.
Delivery
Delivery is based upon availability.
A fee of $20.00 will be charged for any delivery outside a five (5) mile radius, but within 20 mile radius.
An additional $.25 (25 cents) per mile per vehicle will be charged for each mile after 20.
Mileage will be calculated based on Mapquest.com.
Confirmations:
Reservations can be confirmed with a deposit by credit card or debit card. Tentative reservations (those not confirmed by deposit) will be held for ten (10) days only. Receipt of your deposit will guarantee the services of World Classics Catering for your event.
Changes:
Changes to your event must be made in writing or in person (email is acceptable); changes during the event may incur additional charges. World Classics Catering reserves the right to bill those charges by separate invoice after the event. Payment on additional charges will be due no later than ten business days after billing.
Guarantees:
The number of guests confirmed for an event is referred to as a Guarantee. Your guaranteed number of guests must be submitted to us no later than five days prior to the event. The guaranteed number cannot be decreased, since food has already been ordered and, in some cases, preparations begun. You may add to the number of guests up to 24 hours before the event. Your total event price will fluctuate based on guest count.
Service Restrictions:
While the Management and Staff of World Classics Catering prepare for and expect each event to be a pleasant experience, both the Client and his/her guests should be aware that during the course of service and normal activity, there are practices and procedures that require safety, adult protocol and general polite etiquette. The Client assumes all liability for any damages including, but not limited to spillage, breakage, or physical injury which are deliberately or inadvertently inflicted upon other guests or on World Classics Catering by the persons present at his event.
World Classics Catering reserves the right to refuse service to or terminate the service of any group or individual whose conduct is deemed inappropriate or potentially injurious to other guests or to the professional reputation of World Classics Catering.
Leftover Food Waiver:
Because we value the health and safety of our clients and guests, any food remaining on the serving tables at the end of an event is still the property of World Classics Catering even though it has been paid for by the client. The client must sign a release from liability, or Leftover Food Waiver, which states that World Classics Catering is not responsible for the food once it has left the site.
Due to Health Department & Alcoholic Beverage Regulations, no food or alcohol may be brought in to an event by any client without prior approval by World Classics Catering.
